Position Overview: The Ministerial Assistant plays a vital role in supporting the administrative and operational functions of the church. This multifaceted position encompasses secretarial, administrative, and office responsibilities. The ideal candidate will demonstrate organizational skills, attention to detail, and a commitment to supporting the mission of the church.
This is a part-time position, with a minimum requirement of 20 hours per week. Due to the nature of the work, additional hours may be required during peak times, occasionally exceeding 30 hours per week.
Position Requirements:
– Faith: The Ministerial Assistant must be a born-again believer in Jesus Christ.
Doctrinal Alignment: Must align with our church’s statement(s) of faith, which can be found on our website.
– Church Membership: The Ministerial Assistant must be or become a member of our local church.
– Technical Competence: Proficient in accounting software and Microsoft Office applications (Primary software includes QuickBooks and Microsoft Word).
– Communication Skills: Must possess strong verbal and written communication skills.
– Work Hours: The Ministerial Assistant is expected to work during office hours (Monday–Friday, 8:00 AM–12:00 PM). Additional hours may be required as needed to fulfill job responsibilities.
Secretarial Responsibilities:
– Pickup, open, sort, and distribute incoming mail.
– Respond to and send outgoing correspondence, including letters, documents, and flyers, as requested.
– Perform typing and design tasks for church-related communications and event materials.
– Maintain an organized filing system for church documents and service records.
– Answer incoming phone calls and emails, redirecting them to the appropriate staff member when necessary.
– Assist with additional secretarial tasks as assigned by the Senior Pastor.
– Administrative Responsibilities:
– Prepare the weekly church bulletins and newsletter.
– Manage the annual church calendar.
– Maintain accurate church records by recording membership, baptisms, marriages, baby dedications, and other significant events pertaining to the church.
– Assist with additional administrative tasks as assigned by the Senior Pastor.
Office Responsibilities:
– Collaborate with church leadership to oversee office equipment, repairs, and facility maintenance as needed.
– Monitor and maintain office supplies, cleaning supplies, and kitchen equipment.
– Manage church finances by processing and paying bills in a timely manner.
– Oversee payroll by processing and printing checks for the appropriate staff members.
– File and organize bills and financial documents to ensure accurate record-keeping and future reference.
– Regularly reconcile church accounts, ensuring that financial records are up to date and accurate.
– Assist with additional office-related tasks as assigned by the Senior Pastor.
